Taajir vs Excel: when your spreadsheet stops being enough

Excel is where many businesses start, and it is a fine tool. As sales, items and staff grow, separate sheets for stock, billing and udhaar start to drift apart. Here is an honest look at what changes when you move to Taajir.

Why Excel works at first

Excel is flexible, familiar and often already on the computer. A new shop with 150 items and a dozen credit customers can manage stock in one sheet, sales in another and udhaar in a third. You decide the columns. Nobody has to learn anything new.

Where it starts to break

The trouble is that the sheets do not talk to each other on their own. When you sell 12 cartons of cooking oil, someone has to enter the sale, reduce the stock and add the amount to the customer's balance. Three entries in three places. On a busy day one gets missed, and by month end the stock sheet says 40 cartons while the godown has 31.

Formulas break quietly. Someone sorts one column without the others, or types a number over a formula. The file is open on the counter PC and the owner's laptop, and two copies with different numbers now exist. When the hard disk fails, the last backup might be weeks old.

A simple worked example

Say a grocery wholesaler makes 60 invoices a day and each one takes 3 minutes to copy into stock and udhaar sheets. That is 180 minutes, or 3 hours, of re-typing every day. Over 26 working days that is 78 hours a month spent copying numbers, before fixing a single mistake.

In Taajir, the invoice is the only entry. Stock goes down, the customer ledger goes up, and the sale shows in today's report at the same moment. Those 78 hours go back to selling and collecting.

Staff, permissions and trust

In Excel, anyone who can open the file can change anything, including old entries. Taajir has unlimited staff accounts with role permissions, so you decide what each salesman can see and change. Sensitive actions can need a PIN, an audit log records who changed what, and deleted entries go to a recycle bin you can restore from. For a family business with hired staff at the counter, that alone is worth a lot.

Moving your sheets into Taajir

Your Excel files are not wasted. Taajir imports parties, items, opening balances and stock from Excel for free on both plans. Clean the sheets first: one row per item, one row per customer, current balances. Larger migrations get a guided onboarding call with the AiroxLab team. Keep Excel for what it is good at

You do not have to give up Excel entirely. Plenty of owners still use a sheet for a yearly budget, a loan plan or a summary for a partner. Taajir's reports export to Excel, so you can still work on the numbers there. The difference is that the daily figures for sales, stock and udhaar now come from one place.

Signs it is time to switch

  • Your stock sheet and the godown count never match at month end.
  • Two people keep their own copies of the same file.
  • Customers dispute balances and you cannot quickly show every entry.
  • You spend evenings copying sales into udhaar and stock sheets.
  • You need a sales tax report and build it by hand every month.

If two or more of these sound familiar, the time spent on spreadsheets is already costing more than the software would.

The verdict

Move to Taajir when you have more than a handful of credit customers, more than one person entering data, or stock in more than one place, because linked billing, stock and ledgers will save hours and stop errors. Stay with Excel if you are a very small business with a few items, one person doing all the entries, and no need for printed invoices or tax reports; it costs nothing extra and does the job.

FAQ

Questions people ask

Can I import my Excel stock list into Taajir?

Yes. Parties, items, opening balances and stock import from Excel for free on both plans. Larger migrations get a guided onboarding call.

Can more than one person use Taajir at the same time?

Yes. Staff accounts are unlimited, each with its own role permissions, and the audit log shows who changed what.

Is Taajir harder to use than Excel?

For billing it is usually easier, because one invoice updates stock and the ledger. Setup and training are done remotely by the AiroxLab team.

What happens to my data if the computer breaks?

Taajir keeps backups, so a broken PC does not take your records with it. You log in from another device or the mobile app and carry on.
