POS software for cafés and coffee shops in Pakistan
A café sells hundreds of small tickets a day, and the profit sits in grams of coffee and millilitres of milk. ArfaPOS bills fast at the counter, lets seated guests order from a QR code on the table, tracks what each cup uses, and brings regulars back with loyalty points.
What makes this trade hard to run.
Small tickets, long queues
A Rs 450 chai and a Rs 650 latte take as long to bill as a Rs 6,000 dinner. At 9 am and 5 pm the queue backs up if billing and change-counting are slow.
Milk and coffee disappear without a trace
Milk is bought daily and poured freely. Beans cost thousands per kilo. Nobody can say if a carton went into cappuccinos, staff tea or the drain.
Regulars are the business, and they are not tracked
Students and office staff come back three times a week. Paper stamp cards get lost, and you have no list to message when you launch a new drink.
Seated guests wait to order
Friends settle in with laptops and wait for a menu and a waiter. With two people on shift, the second round of drinks often never gets ordered.
Built around the way you work.
QR menu and table ordering
Guests scan the QR card on their table, browse the menu with photos and order from their own phone. The order reaches the counter tagged with the table number. Sold-out items are hidden automatically.
Fast counter billing with a customer display
The cashier taps items and takes payment. A second screen facing the customer shows each item, the total and a JazzCash or EasyPaisa QR to pay, so fewer people wait for change.
Drink recipes linked to stock
A cappuccino recipe lists coffee in grams, milk in millilitres and the cup. Each sale deducts those amounts, so milk and bean usage can be checked against purchases.
Loyalty points and WhatsApp
Customers earn and redeem points at the counter or online, recorded against their phone number. Send bulk and template WhatsApp messages to regulars when a new drink launches.
Kitchen display for the bar
From Growth, orders from the counter and QR go to a screen where the barista and sandwich cook see them in sequence, each with a timer.
From opening to closing.
Opening: milk and bakery delivery
Milk, bread and croissants arrive. The purchase is recorded so stock and the supplier ledger are current.
Morning rush
Office staff and students pick up chai and coffee. Many pay by scanning the JazzCash or EasyPaisa QR on the customer display.
Lunch
Sandwiches, wraps and iced drinks. Seated guests order by QR from their tables while takeaway is billed at the counter.
Afternoon lull
An afternoon coffee and brownie deal plays on the customer display between orders, and a WhatsApp message goes to regulars.
Evening crowd
Friends and families come in for desserts and cold coffees, often ordering a second round from the table QR. Regulars earn loyalty points.
Close
The cashier closes the till. The manager checks the day report and compares milk used per recipes against milk bought.
A café's profit is in the cup, so measure the cup
Cafés in Islamabad, Lahore and Karachi have grown fast, and so have their costs. Imported beans, dairy and disposable cups have all gone up. A café owner who prices a latte by looking at the competitor across the road has no idea whether it makes Rs 400 or Rs 200 per cup. Recipes in ArfaPOS fix that by putting every ingredient and its cost on the screen.
Worked example: cost of one cappuccino
| Item | Quantity | Cost (Rs) |
|---|---|---|
| Espresso beans (Rs 9,000 per kg) | 18 g | 162 |
| Milk (Rs 220 per litre) | 200 ml | 44 |
| Sugar sachet | 1 | 4 |
| Total for dine-in | 210 | |
| Takeaway cup and lid | 1 | 35 |
| Total for takeaway | 245 |
At a menu price of Rs 650, the dine-in cappuccino has a food cost of 32.3%. The takeaway version costs Rs 245, or 37.7%. That 5-point gap matters if half your sales are takeaway. You might decide to charge Rs 50 more for takeaway or to push a reusable cup offer. Either way, you are deciding with numbers. The recipe costing setup is what makes this possible.
Finding the missing milk
Say the café bought 30 litres of milk on Monday. The recipes say Monday's sales should have used 24 litres. Six litres are unaccounted for. Some of it is staff chai, some is spillage, some may be steaming too much milk for each cup. Once you see the gap every day, you can set a rule for staff tea and train baristas on the jug size. Six litres a day at Rs 220 is Rs 1,320 a day, or Rs 39,600 in a 30-day month.
Let the table order for itself
In a café, the second drink is where the margin is, and it is the order most often lost because nobody came to the table. With QR menu ordering, each table has its own printed QR card. Guests scan it with the phone camera, with no app to install, see the menu with photos, and send the order. It lands at the counter and on the kitchen screen with the table number attached. Your staff only carry the cups.
Bringing regulars back
A café lives on people who come three times a week. With loyalty points, each regular has a record tied to their phone number, and points can be earned and redeemed at the counter or online. You decide the rules. For example, if you give 10 points for every Rs 1,000 spent, a student who spends Rs 1,300 a week collects 130 points in 10 weeks, enough for a reward you choose.
WhatsApp bulk and template messages let you tell those regulars about a new seasonal drink. When the counter is quiet, the customer display plays your deals, such as an afternoon coffee and brownie combo.
Staff, shifts and the drawer
Cafés hire students for evening shifts, and staff change often. Role-based permissions mean a new barista can take orders and bill without seeing reports or changing prices, and fingerprint or PIN login shows who was on the till. Small cash payments, such as Rs 600 for ice or Rs 1,200 for a gas refill, are entered as expenses so the evening count matches. When the manager is away, the owner can check the day from the Admin Portal.
Which plan suits a café
Starter at Rs 4,999 a month covers fast billing, split payments, expenses, reports and offline mode for one admin and one cashier. Growth at Rs 9,999 adds loyalty, the kitchen display, inventory with recipes, WhatsApp receipts and FBR. Business at Rs 14,999 adds QR and tablet ordering, your own ordering website and reviews. The 7-day trial opens Business in full, so you can test QR ordering with real guests before you choose. To talk it through, use the get a quote form.
Questions people ask
Can guests order from their table with a QR code?
Yes. Each table gets a printable QR card. Guests scan it, browse the menu with photos and order from their phone, and the order arrives tagged with their table number. QR and tablet ordering come with the Business plan.
Can customers pay by JazzCash or EasyPaisa?
Yes. The customer display shows a JazzCash or EasyPaisa QR with the amount due. ArfaPOS also records cash, card, bank transfer and customer accounts, and one bill can be split across several methods.
Can I track milk and coffee usage per cup?
Yes, from the Growth plan. Each drink has a recipe with quantities of beans, milk and other items. Every sale deducts those quantities from inventory, so you can compare expected use with what you bought.
Does ArfaPOS have a loyalty program?
Yes, on Growth and Business. Customers earn and redeem points at the counter or online, and you set the earning and redemption rules.
Will it work on my existing counter PC?
Yes, if it runs Windows 10 or 11. Add a USB or network thermal printer. A spare monitor or tablet can act as the customer display.

Bakeries and sweet shops
A bakery bakes in the morning and sells until late at night, takes cake orders days in advance, and throws away what doesn't sell. ArfaPOS keeps the counter billing, the cake advances, the recipes, the flour stock and the tax receipts in one place.
Ice cream and dessert shops
An ice cream parlour sells a few grams at a time, from tubs that cost thousands, to queues that are longest on the hottest nights. ArfaPOS costs every scoop, tracks every tub, and keeps the counter moving with QR payments and a ready board when the whole street wants falooda at 11 pm.
Fast food outlets
Burger, broast and shawarma outlets live on speed and deals. ArfaPOS bills a combo in seconds, sends it to the kitchen screen, shows waiting customers when their order is ready, and counts every bun, fillet and box of fries against the recipe.
