Auto parts shop software in Pakistan

An auto parts shop sells thousands of parts for dozens of car and motorcycle models, much of it to workshops on weekly credit. Taajir keeps the parts and the accounts in order.

The problem

What makes this trade hard to run.

Same part, many models

A brake pad for one car does not fit the next. Parts look alike, and the right one has to be found fast while a mechanic waits.

Genuine and non-genuine versions

Many parts come in genuine, local and imported versions at very different prices. Mixing them up in stock or billing loses money or trust.

Workshops that pay weekly

Mechanics take parts all week and settle on Saturday or when their customer pays. Many small bills, one running account.

Dead stock for old models

Parts for models that are no longer common sit on the shelf for years. Without a report, nobody notices how much money is stuck there.

How Taajir handles it

Built around the way you work.

One item per part and version

Set up each part for each model, and genuine and non-genuine versions, as separate items with their own price and stock.

Search while billing

Find parts by name while making an invoice. Including the model in the item name makes the right part quick to pick.

Workshop ledgers

Each workshop is a party. All week's invoices add up in one ledger, and the Saturday payment settles it.

Slow-moving stock reports

Reports show which parts have not sold, so you stop buying for models your customers no longer drive.

Supplier purchases

Record purchases from importers and wholesalers with the rate paid, so profit per part is clear.

Engine and chassis numbers

With the Lots & Serials add-on, engines and other high-value units carry serials such as engine and chassis numbers, recorded on the sale invoice.

A working day

From opening to closing.

  1. Opening

Mechanics' boys arrive with lists for the day's jobs. Parts are billed to their workshop's account.

  2. Walk-in customers

Car and bike owners buy filters, oil and bulbs for cash.

  3. Supplier delivery

A lot from the wholesaler arrives. The purchase is entered at today's rates.

  4. Afternoon rush

Workshops send for parts for vehicles already opened. Fast billing keeps the queue short.

  5. Saturday settlement

Workshops settle the week's account. Payments go in and balances update.

How an auto parts shop actually runs

Auto parts markets like McLeod Road in Lahore have hundreds of shops, each carrying thousands of parts. Car parts, motorcycle parts, filters, belts, bearings, bulbs, lubricants. A good part of the sales go to workshops nearby. A mechanic's boy comes with a list, takes the parts and goes. The workshop pays at the end of the week, or when its own customer pays.

Two things make this trade hard to manage on paper: the number of similar-looking parts, and the number of small credit bills that make up each workshop's account.

A worked example: a workshop's week

Ustad Rafiq runs a workshop down the road. His week in Taajir:

DayEntryAmount (Rs)Balance (Rs)
MondayOil filter and engine oil3,4503,450
TuesdayBrake pads and shoes7,80011,250
ThursdayClutch plate and pressure plate12,25023,500
FridayBulbs and fuses2,10025,600
SaturdayCash payment- 18,0007,600

Four invoices came to Rs 25,600. Rafiq paid Rs 18,000 on Saturday, and Rs 7,600 carries into next week. If he says 'I only took Rs 20,000 of parts', you send him the ledger with every invoice and every part. With twenty workshops buying from you, a clear ledger for each one is the difference between collecting and arguing.

Setting up parts so they can be found

The best way to set up parts in Taajir is one item per part, per model, per version. 'Brake pad front, Corolla, genuine' and 'Brake pad front, Corolla, local' are two items with two prices and two stocks. It takes some effort at the start, but after that billing is quick because the search finds exactly the right part. The AiroxLab team helps you plan the naming during remote setup, and most shops add their fast movers first and the rest over time. The glossary entry on SKUs explains the idea.

Serial numbers on engines and big units

Some shops also sell reconditioned engines, gearboxes or complete motorcycles. One unit can be worth more than a week of filter sales, and the buyer wants proof of the exact unit he got. The Lots & Serials add-on stores serials such as engine and chassis numbers for each unit and captures them at sale, so you can answer which customer got which engine. Lot-wise trading in the same add-on shows the profit on each lot you buy. It is Rs 2,000 a month, or Rs 11,000 a year with a yearly plan.

Money stuck on the shelf

Every auto parts shop has a back shelf full of parts for models that are hardly on the road any more. Taajir's reports show items with stock but no recent sales, and their value at cost. Seeing that number once a quarter helps you stop reordering slow parts and put the money into parts that sell every week. Read reorder levels and safety stock for how to set limits on fast movers.

Staff, godown and price

Counter staff can bill with their own login, and user permissions keep purchase rates private. The audit log records changes. If you keep bulk stock like lubricants and batteries in a godown, the Business plan at Rs 5,000 a month (Rs 50,000 a year) tracks each location separately. A single shop runs on Standard at Rs 4,000 a month (Rs 36,000 a year). Try the 7-day free trial at taajir.pk, or see the Taajir ERP.
