Z report

A Z report is the end-of-day sales summary from a till or POS, usually taken when the day is closed.

A Z report is the closing summary of a day's sales on a cash register or POS. It shows total sales, the split between payment methods, discounts, cancelled bills and refunds. On older registers, taking a Z report also reset the day's totals to zero, which is where the name comes from. An X report shows the same figures in the middle of the day without closing anything.

Example

A restaurant's Z report for Saturday shows sales of Rs 86,500: Rs 61,500 in cash and Rs 25,000 by card. The drawer started with a float of Rs 5,000, and Rs 2,000 was paid out of it for ice and vegetables. Expected cash in the drawer is 5,000 + 61,500 − 2,000 = Rs 64,500. The manager counts Rs 64,200. The drawer is Rs 300 short.

Why it matters

Without a closing report, nobody knows what the drawer should hold. The Z report gives a fixed number to count against, so shortages are noticed the same night, while staff still remember what happened. Reading the cancelled bills and discounts on the same report often explains the gap.

How software handles it

A POS keeps every bill, so the day's totals are ready the moment the counter closes. ArfaPOS has till open and close for each cashier, payment method reports that split cash from JazzCash, EasyPaisa and card, and expenses recorded from the drawer, which together give the figures above without adding up slips by hand. Our guide on end-of-day cash reconciliation walks through the full routine.
