POS software for ice cream and dessert shops in Pakistan
An ice cream parlour sells a few grams at a time, from tubs that cost thousands, to queues that are longest on the hottest nights. ArfaPOS costs every scoop, tracks every tub, and keeps the counter moving with QR payments and a ready board when the whole street wants falooda at 11 pm.
What makes this trade hard to run.
The scoop size decides the profit
A tub should give a fixed number of scoops. Generous scoopers give away a large part of each tub, and nobody notices until the month's purchase bill arrives.
Seasonal swings
Summer nights are packed, winter afternoons are empty. Stock bought for June sits in the freezer in December.
Load-shedding and melt
A long power cut can ruin freezer stock. Write-offs go unrecorded, so the stock on paper is wrong.
Long queues at the counter
On a June night, families queue for cones while the cashier counts change and staff call out falooda orders over the crowd.
Built around the way you work.
Recipes per scoop and per dessert
A single scoop recipe uses a set number of grams from the tub. A sundae recipe includes scoops, sauce, nuts and the cup. Sales deduct each one.
Tub and freezer stock
Track tubs, cones, cups, sauces and toppings in inventory with low-stock alerts. Expected stock shows how many scoops should be left in each flavour.
Customer display with QR payment
A screen facing the queue shows each item and the total, with a JazzCash or EasyPaisa QR to pay. Fewer people wait for change, and new flavours play on screen between orders.
Order status board for falooda and shakes
Made-to-order desserts show as Preparing and then Ready on a TV, with a chime, so customers collect their order without crowding the counter.
Loyalty and WhatsApp messages
Families come back every week in summer. Reward them with points and tell them about new flavours with WhatsApp bulk messages.
From opening to closing.
Afternoon: open and restock
Tubs move from the deep freezer to the display. Cones, cups and toppings are filled up. Deliveries are recorded.
Early evening: families arrive
Children's cones, family sundaes and shakes. Billing is fast and recipes deduct each scoop.
Night: the peak
After dinner, from 10 pm to midnight, the queue is longest. Customers pay by QR, and falooda orders appear on the ready board.
Power cut
Billing carries on offline. If the freezer is off for long, any melted stock is written off and recorded so stock stays accurate.
Close: scoop check
The manager compares scoops sold per flavour with how much is left in the tubs, then closes the till.
Profit is measured in grams
An ice cream shop in Multan or Hyderabad might sell 600 scoops on a June night and 80 on a January afternoon. The product is bought in tubs or made in batches, and sold in portions that nobody weighs. A scoop that is 15 grams too big looks like nothing. Across a tub, it is several scoops given away free. Recipe costing in ArfaPOS puts the standard scoop in writing and checks every sale against it.
Worked example: one tub, two scoop sizes
A 5 kg tub of mango ice cream costs Rs 4,500, which is Rs 900 per kg. The standard scoop is 70 g, which costs Rs 63. Add a cone at Rs 15 and the single-scoop cone costs Rs 78. At Rs 250, the food cost is 31.2%.
| Scoop size | Full scoops per 5 kg tub | Sales per tub at Rs 250 (Rs) |
|---|---|---|
| 70 g (standard) | 71 | 17,750 |
| 85 g (heavy hand) | 58 | 14,500 |
With heavy scoops, the shop sells 13 fewer cones from the same tub, which is Rs 3,250 less per tub. If the shop goes through 4 tubs a night in summer, that is Rs 13,000 a night. Because ArfaPOS deducts 70 g per scoop sold, a tub that runs out after 58 scoops shows up as a gap between expected and actual stock.
Falooda, sundaes and kulfi
Desserts with many parts are where pricing goes wrong. A falooda has vermicelli, basil seeds, rose syrup, milk, jelly, a scoop of kulfi or ice cream and nuts. Write each one into the recipe with its quantity and cost, and the real cost appears. If it comes to Rs 190 and the menu price is Rs 450, food cost is 42.2%. Then you can decide whether that is the margin you want for your most popular summer item. Extra toppings can be set up as add-ons with their own price, so a sundae with extra nuts is billed correctly every time.
Keeping the summer queue moving
At 11 pm on a hot night, the slowest part of the counter is often the change. The customer display shows the order and a JazzCash or EasyPaisa QR, so many customers pay from their phone while the next cone is being scooped. Shakes and falooda go to the kitchen screen and then to the order status board, which flashes the number and chimes when it is ready. Staff stop shouting, and families wait at their seats.
Load-shedding and write-offs
ArfaPOS keeps billing offline and syncs when the connection returns, but a power cut can still soften or ruin tubs. When that happens, record the write-off as a stock adjustment. Otherwise the system thinks you have stock you don't, and the next order is too small. A month of recorded write-offs also tells you whether a generator or a better UPS for the freezers would pay for itself.
Cones, cups and spoons count too
Disposables are a real cost in a dessert shop. Put the cone, cup, spoon and napkin into each recipe so they deduct from stock with every sale. Then you can see when cups are running low before the Saturday rush, and the cost per item includes everything that goes out of the door.
Summer peaks, winter plans
Sales reports by month and the peak hours report show the shape of your year. Use them to order less stock as autumn comes, and to plan winter items such as hot chocolate, gajar ka halwa or brownies. Loyalty points help keep families coming in the slower months. Starter at Rs 4,999 a month covers billing and reports; Growth at Rs 9,999 adds recipes, inventory, loyalty and the kitchen display. Questions people ask
Can ArfaPOS track ice cream by scoop?
Yes, from the Growth plan. A scoop recipe deducts a fixed weight from the flavour's stock each time it sells, so you can compare scoops sold with what is left in the tub.
Can customers pay by JazzCash or EasyPaisa QR?
Yes. The customer display shows a JazzCash or EasyPaisa QR with the amount due. Cash, card and bank transfer are recorded too, and one bill can be split across methods.
How do I record melted stock after a power cut?
Record it as a stock adjustment so inventory reflects what is actually usable. Billing itself continues offline during internet outages.
Can I reward families who come every week?
Yes. Loyalty points are recorded per customer on Growth and Business, and WhatsApp bulk messages let you send them new flavours and offers.
Which plan should a single dessert shop choose?
Starter is Rs 4,999 a month. Growth at Rs 9,999 adds recipes, inventory, loyalty and FBR, and suits most shops that want scoop control. Business is Rs 14,999. All are billed monthly.

Cafés and coffee shops
A café sells hundreds of small tickets a day, and the profit sits in grams of coffee and millilitres of milk. ArfaPOS bills fast at the counter, lets seated guests order from a QR code on the table, tracks what each cup uses, and brings regulars back with loyalty points.
Bakeries and sweet shops
A bakery bakes in the morning and sells until late at night, takes cake orders days in advance, and throws away what doesn't sell. ArfaPOS keeps the counter billing, the cake advances, the recipes, the flour stock and the tax receipts in one place.
Fast food outlets
Burger, broast and shawarma outlets live on speed and deals. ArfaPOS bills a combo in seconds, sends it to the kitchen screen, shows waiting customers when their order is ready, and counts every bun, fillet and box of fries against the recipe.
