WhatsApp payment reminders for udhaar customers
Your customers already read WhatsApp all day. Taajir lets you send them their invoice, their current balance and a payment reminder there, straight from their ledger, without typing the figures yourself.
Exact balance, no guessing
The reminder carries the figure from the customer's ledger, so it matches your books.
Invoice PDF sent on save
Taajir can send the invoice PDF to the customer's WhatsApp the moment you save the bill, so the reminder later is never a surprise.
One tap from the ledger
Open the customer's account and send the reminder in one tap. No copying numbers into a separate chat.
Send the whole ledger
When a customer questions a balance, send his ledger as a PDF with every bill and payment behind it.
Built into the desktop app
Pair your phone once and the Windows desktop app sends invoices and reminders itself, without a separate browser tab.
Part of Taajir
Included in both plans alongside billing, stock and ledgers. No separate messaging tool to pay for.
Why asking for money is the hardest part of udhaar
Giving credit is easy. Getting it back is where Pakistani shopkeepers lose sleep. Calling a regular customer to ask for money feels awkward, especially when he is a neighbour or a relative. So the call gets postponed, the balance grows, and by the time you ask, it has become a large, uncomfortable number.
A written reminder on WhatsApp takes the awkwardness out. It is polite, factual and carries an exact amount. The customer can read it when convenient, check it against his own record, and reply or pay without a face-to-face conversation.
Know who to remind first
Before sending anything, look at who owes what and for how long. Here is how the udhaar might look for a medium-sized hardware shop in Lahore with 35 credit customers:
| How long unpaid | Customers | Total owed |
|---|---|---|
| Up to 30 days | 20 | Rs 180,000 |
| 31 to 60 days | 9 | Rs 95,000 |
| Over 60 days | 6 | Rs 70,000 |
| Total | 35 | Rs 345,000 |
The six customers over 60 days owe only a fifth of the total, but they are the most likely to become bad debts. They should get a reminder this week. The 31 to 60 day group gets a gentle nudge. The recent group probably needs nothing yet. This kind of sorting is the core of managing accounts receivable, whatever size your shop is.
What a good reminder says
Keep it short and specific. Name the customer, state the balance and the date, and make it easy to pay. For example:
Assalam o Alaikum Rashid sahib. Your balance with Madina Hardware as of 12 October is Rs 18,450. Please arrange payment at your convenience. If you have already paid, kindly ignore this message. Shukriya.
- Use the exact figure. 'Rs 18,450' is taken seriously. 'Kuch paise' is not.
- Be polite every time. The aim is payment and a customer who comes back.
- Send at sensible hours. Late night messages annoy people, and Friday prayer time is a bad moment.
- Follow up on a pattern. If someone has not responded in a week, a phone call is the next step.
- Thank people who pay. A short 'payment received, shukriya' message with the new balance builds trust for next time.
- Keep the evidence ready. If the customer disputes the amount, send the invoice or the ledger PDF.
Why the reminder must come from your books
Many shopkeepers already send reminders from their personal WhatsApp, typing the amount from the khata. That works until the amount is wrong. One wrong figure and the customer stops trusting every reminder after it. In Taajir, the balance in the reminder comes from the party ledger, which is built from actual bills and payments. When the customer pays, by cash, bank, JazzCash or EasyPaisa, the payment is recorded and the next reminder shows the new figure.
Invoices on WhatsApp prevent disputes later
The best time to stop a dispute is at the sale. When every credit bill goes to the customer's WhatsApp as a PDF the moment it is saved, he has a record of what he bought and what he owes. A reminder two weeks later is then just a total of messages he has already seen. Taajir sends invoices on WhatsApp as part of billing.
A weekly collection routine
- Every Monday, check customer balances and sort by how long they have been unpaid.
- Send reminders to everyone above your limit, for example over 30 days or over Rs 10,000.
- Record payments as they come in during the week.
- On Saturday, call anyone over 60 days who has not responded.
For more on this routine, read our guide on how to collect udhaar payments. WhatsApp reminders are included in Taajir from Rs 4,000 a month, or Rs 36,000 a year on the Standard plan, with a 7-day free trial.
Questions people ask
Do I need a separate WhatsApp tool for reminders?
No. WhatsApp sending for invoices, ledgers and payment reminders is part of Taajir and included in both plans. The Windows desktop app sends from inside the app once you pair your phone.
Will the amount in the reminder be correct?
The reminder uses the balance from the customer's ledger in Taajir, which comes from the bills and payments you record. Keep those up to date and the figure will be right.
Can I also send invoices on WhatsApp?
Yes. Taajir can send the invoice PDF to the customer on WhatsApp automatically when you save it.
Can I write the reminder in Urdu?
Write reminders the way your customers are comfortable reading them. The AiroxLab team can help you set this up during training.
How much does it cost?
WhatsApp reminders come with Taajir at no extra cost. Standard is Rs 4,000 a month or Rs 36,000 a year. Business, with multiple warehouses, is Rs 5,000 a month or Rs 50,000 a year.
