Software for small factories and manufacturers in Pakistan

A small factory buys raw material, turns it into finished goods and sells them on credit. Taajir's Manufacturing add-on tracks each production run from material issue to finished stock, and shows what every unit really cost.

The problem

What makes this trade hard to run.

Nobody knows the real cost per unit

The rate list was set two years ago. Material prices, wastage and machine hours have changed since, and nobody has worked out the cost again.

Wastage that is never counted

Granules, cloth, flour or wire are lost on every run. On paper the loss is guessed, so the real figure stays hidden inside the profit.

Raw material runs out mid-order

A big order is accepted, then half way through the run one material is short and the machine stands idle while someone goes to the market.

Party material mixed with your own

Units that process a customer's material on job work keep it in the same godown as their own stock, and at month end nobody knows whose kg is whose.

How Taajir handles it

Built around the way you work.

Recipes (BOM) with wastage

Write down what goes into one unit of each product, with a wastage percentage. By-products can go back to stock.

Production orders

Release a run, issue material from stock and record the output. Raw material goes down and finished stock goes up with real stock moves.

Planned vs actual costing

Every run shows planned and actual cost for material, labour and overhead, and the cost per unit.

Workstations and batches

Machines and lines are workstations with hourly rates. Output can be kept in batches with expiry dates, sold first-expiry-first (FEFO), with a recall report.

Material requirements

Before a run, see what is short. One click raises a purchase for the shortfall, or a production order if you make that part yourself.

Job Work for tolling units

The Job Work add-on keeps each party's material in its own account and bills conversion per piece or per kg.

A working day

From opening to closing.

  1. Morning: check requirements

The owner opens today's production orders and the material requirements. A shortfall of one material becomes a purchase order.

  2. Issue material

The storekeeper issues raw material against the production order. Godown stock drops as it leaves.

  3. Production on the floor

Machines run against the order. Machine hours are recorded against each workstation.

  4. Record output

Finished goods are counted and recorded, in batches where needed, and go into stock.

  5. Dispatch and billing

Orders for wholesalers and distributors are invoiced, sent with a delivery challan, and the invoice goes on WhatsApp.

  6. Evening: cost check

The owner compares planned and actual cost on today's runs and sees where wastage went over.

How small factories run in Pakistan

A plastics unit in Gujranwala, a snacks and food unit in Lahore, a stitching unit in Faisalabad, an assembly shop in Sialkot, a small flour or rice mill near Sargodha. These businesses buy raw material on credit, run it through a few machines and a handful of workers, and sell to wholesalers and distributors who also pay later. The owner usually knows his sales well. What he rarely knows is the true cost of each unit after wastage, machine time and price changes.

Taajir's Manufacturing add-on sits on top of the normal app. Sales, purchases, party ledgers, payments and the FBR-style GST report work the same as for any trader. The add-on adds recipes, production orders, costing, workstations and batches, with 18 industry presets for food, plastics, garments, assembly, mills and more.

A worked example: 1,000 plastic buckets

The recipe for one bucket is 0.40 kg of granules at Rs 300 a kg, with 5% wastage, plus one handle at Rs 12. The moulding machine costs Rs 1,500 an hour. Here is one production order for 1,000 buckets:

Cost linePlanned (Rs)Actual (Rs)
Granules: 420 kg planned, 441 kg used, at Rs 3001,26,0001,32,300
Handles: 1,000 at Rs 1212,00012,000
Machine: 10 hours planned, 12 used, at Rs 1,50015,00018,000
Total1,53,0001,62,300
Cost per bucket153.00162.30

Planned granules were 1,000 x 0.40 kg = 400 kg plus 5% wastage, so 420 kg. The run used 441 kg and two extra machine hours. Each bucket cost Rs 9.30 more than planned. If you sell to wholesalers at Rs 190, the margin fell from Rs 37 to Rs 27.70 a bucket, or Rs 9,300 on this order. Without the actual figures, you would keep quoting on Rs 153 and never see the gap.

Batches, expiry and material planning

Food, pharma and chemical units can keep output in batches with expiry dates. At sale, Taajir sells the batch that expires first (FEFO), and the recall report traces a batch if a complaint comes in. See batch and expiry tracking software. Material requirements show what is short before you start, with multi-level recipes for parts you make yourself. More detail is on the manufacturing software page.

Job work and tolling

Many units also process material that belongs to someone else. The Job Work add-on keeps a material account for each party. Say a brand sends 1,200 metres of cloth to stitch 500 shirts at 2.2 metres each, paid Rs 150 a piece. The run uses 1,100 metres, 100 metres stays in the brand's account, and the bill is 500 x Rs 150 = Rs 75,000. A party can never take out more than it sent. Read more on job work software.

Price and setup

Standard is Rs 4,000 a month and the Manufacturing add-on is Rs 2,000 a month, so Rs 6,000 a month in total. Paid yearly, it is Rs 36,000 + Rs 11,000 = Rs 47,000 for the year. Job Work is another Rs 2,000 a month, or Rs 11,000 a year. A factory with a separate raw material godown and finished goods godown can use Business at Rs 5,000 a month (Rs 50,000 a year) for separate stock in each. The AiroxLab team sets up recipes with you over video call and WhatsApp. If your process does not fit, see custom manufacturing ERP. Start the 7-day free trial at taajir.pk.
